Title: Administrative Associate 

Department: Grantmaking & Strategy  
Reports to: SVP for Planning & Community Strategies  
FLSA Status: Non-Exempt  
Salary range : $42,494 - $50,000 

POSITION: 

This is an entry level position that supports the Foundation’s Grantmaking and Strategy Department and the Senior Vice President for Planning & Community Strategies. This includes providing administrative support to individuals, smaller teams and grantmaking and scholarship processes to ensure efficient operation of the department.  

The Foundation has a hybrid work environment, and this position would require on-site hours, 2-3 full days per week and for in-person staff meetings and events. This position may also require some work outside of traditional business hours with advance notice to support events or meetings in the evenings or on the weekends. 

CORE RESPONSIBILITIES: 

  • Scheduling and managing calendars for senior staff 
  • Supporting internal and external meetings and events, in person and virtual, including scheduling, attending, providing logistics, managing reservations, and recording, as required 
  • Performing administrative duties (electronic filing, data entry, reports, taking meeting notes) 
  • Producing research and written reports as needed and assigned 
  • Performing data entry and producing reports using The Foundation’s internal database 

QUALIFICATIONS: 

  • A strong customer service orientation 
  • Demonstrated administrative and data entry skills and highly skilled in technology and office software including Microsoft Word, Outlook, PowerPoint, and Excel  
  • Experience with Zoom and Teams on-line meeting platforms 
  • Superior organizational skills; experience organizing and operating efficient office processes and procedures. 
  • Eagerness to multitask and demonstrated experience working in a fast-paced environment, with positive customer service expectations and with diverse populations.   
  • Self-direction and ability to function as part of a team.  
  • Attention to detail and ability to adapt to a changing work environment. 
  • Demonstrated ability to track schedules, organize meetings, generate reports, and produce presentations.  
  • Excellent written and verbal communication skills  
  • Demonstrated commitment to an inclusive environment
